Background
This privacy notice lets you know what happens to any personal data that you give to us.
We are the Manningtree & District Community Bus – a registered charity run and operated by the Trustees of the organisation.
This privacy notice has been prepared in recognition of the General Data Protection Regulation (GDPR) and explains our obligations and commitments to keeping personal data safe and using it only for purposes for which permission has been given. In making you aware of our collection and management of your data you are able to control what we record and how we use it.
We are a small Charitable organisation run by volunteers and we have tried to keep this as simple as possible whilst not avoiding our core responsibilities for lawful, competent management of personal data.
What information do we hold?
For members:
We hold names and addresses plus telephone numbers and, usually, details of next of kin – names / addresses / telephone numbers
For volunteers:
We hold names and addresses plus telephone numbers. For drivers we also hold details of DVLA licences plus details of the their driver training and any other training provided.
For external organisation drivers:
We hold names, addresses plus telephone numbers and DVLA license details.
What is the source of the personal information?
All the information that we hold originates from you and, occasionally, from other members or volunteers. (eg a telephone number for a fellow member)
In the case of drivers we do contact the DVLA to obtain additional data not recorded on the driver licence (eg details of convictions)
What do we use your personal data for?
For members:
We use your data to allow us to collect and deliver you to your home and, where we hold your telephone number, to contact you to arrange collection times. We may also use your details to provide you with details of future trips to enable you to consider whether you are interested in reserving a place.
For volunteers:
We use your data to contact you to arrange duty rotas and generally to advise of the organisation’s business. For drivers we collect the additional licence information to ensure that all our drivers are legally entitled to drive our bus and to satisfy our insurer’s requirements.
For external organisation drivers:
We use your information to allow us to contact you about your hiring arrangements and we collect your licence information to ensure that you are legally entitled to drive our bus and to satisfy our insurers requirements.
When do we share your personal information with other organisations?
We do not share your information with any other organisations at were there to be become a situation where we had reason to we would seek your permission first.
How and when can you withdraw your consent?
Where we are relying upon your consent to process personal data you can withdraw this at any time by contacting us.
What should you do if your personal information changes?
You should tell us as soon as possible so that we can update our records.
Do you have to provide your personal information to us?
We’re unable to provide our services to you without at least a minimal amount of information about who you are and where you live.
What are your rights under data protection law?
